Change the owner
When responsibility for a customer moves to a colleague, change the account’s owner. The owner decides who sees the account under Own records only, and who follows it up.
Before you start
Section titled “Before you start”Change Owner is offered if you own the account, are above its owner in your company’s reporting line, or your role has Transfer Records. The new owner must be an active user with access to every kind of record you move.
- Open the account and select Change Owner in the ··· menu.
- Choose the New owner.
- Note that Contacts always move with the account.
- Tick what else should move: Open opportunities, Open quotations, Open documents (drafts) and Open activities.
- Tick Issued invoices, credit notes and closed quotations only if they should move too.
- Choose whether to Keep the account team.
- Select Change Owner.
What happens next
Section titled “What happens next”The account, its contacts and the records you ticked move to the new owner at once. Everything else stays with its current owner. Owner history in the ··· menu lists every change of owner.
Rules to know
Section titled “Rules to know”- Leave Issued invoices, credit notes and closed quotations unticked to keep commission and history with the original salesperson.
- Open activities are tasks not yet completed and events not yet over. Notes and call logs stay where they are.
- The owner decides access under Own records only; it does not replace permissions or sharing rules.
