Licence and users
The Licence is the subscription record for the organisation using easySales. A user account belongs to a person who signs in and works within that organisation.
Why it works this way
Section titled “Why it works this way”The Licence identifies its type, code and period, the modules enabled for the organisation, and current usage against available limits. A displayed limit of zero means Unlimited.
Usage includes user accounts and business records such as Accounts, Contacts, Products and Quotations. Separating organisation limits from user permissions lets Lim & Co see what its Licence enables without treating every user as an administrator.
Deactivating a user prevents that person from continuing to use their sessions. Records they own remain business records and are not removed with the user account.
The Licence end date is informational in the MVP. Reaching it does not disable sign-in, existing sessions or API access. Access continues to follow whether the Licence is active; expiry enforcement will be defined with future plans and billing.
How it relates
Section titled “How it relates”The Licence determines the organisation’s available capacity and modules. Roles and sharing then determine what each active user can do and which records they can reach.
- Licence: The organisation’s easySales subscription record.
- Licence period: The start and end dates shown for the Licence.
- Enabled module: A part of easySales made available by the Licence.
- Usage limit: The available capacity shown beside current usage.
- User account: The identity used by one person to sign in.
- Deactivated user: A user account prevented from continuing to access easySales.
Common misunderstandings
Section titled “Common misunderstandings”- A customer Account is not a user account. One represents a customer; the other represents a person who signs in.
- A Licence limit does not grant record permission. The user’s role and sharing scope still apply.
- Deactivating a user does not delete the records they owned.
