Cancel a credit note
What you can undo depends on whether the credit note has been issued.
Before you start
Section titled “Before you start”A draft needs Credit Note Delete; an issued credit note needs Credit Note Edit to cancel. Cancelling an issued credit note is refused if any of its money has already been paid out as a completed refund — void that refund first — or if it is the credit note a voided invoice raised automatically, which cannot be undone at all.
A draft that has never been issued:
- Open it and select Delete.
- Confirm. The draft is removed; it never had a number and never affected any invoice.
An issued credit note:
- Open it and select Cancel credit note.
- Read the confirmation, then select Confirm cancellation — or Keep it to back out.
What happens next
Section titled “What happens next”Cancelling an issued credit note keeps it on the record with its number, marked Cancelled. Every allocation it made is reversed — on its own invoice and on any other invoice it was applied to — and each of those invoices is recalculated as if that credit had never been applied.
Rules to know
Section titled “Rules to know”- Deleting a draft leaves no trace: it never took a number, so there is no gap to explain.
- Cancelling an issued credit note is not the same as deleting it. It stays visible, with its number and its original lines, only marked as cancelled.
- Money already refunded out of a credit note is never taken back this way. Void the refund first if it was recorded in error.
- Neither action can be undone once confirmed.
