1. Who we are
easySales is provided by Sharker Technology Pte. Ltd. (“SharkerTech”, “we”, “us”), a company incorporated in Singapore To confirm: UEN. This policy applies to the easySales website, applications and related services (the “Service”).
We handle personal data in line with Singapore’s Personal Data Protection Act 2012 (PDPA) and, where they apply, the data protection laws of the other countries where our customers operate.
2. Our role
- Your account and billing information. For the details you give us to set up, use and pay for easySales, we decide how the data is used and are responsible for it.
- Business data you store in easySales. For information about your own customers, contacts and transactions, you decide what goes in and how it is used. We process it on your behalf, only to provide the Service and in line with our Terms of Service. You are responsible for having the right to collect and use that data. Business customers can request a data processing agreement through our contact form.
3. What we collect
- Account details: your company name, your name, email address, and the details of users you invite.
- Billing details: plan, billing contact and payment records. Card payments are handled by our payment processors; we never see or store full card numbers.
- Business data: customers, contacts, quotations, invoices, payments, credit notes, attachments and templates you create or upload.
- Usage and device information: sign-in activity, feature usage, IP address, browser type and error logs, used to run, secure and improve the Service.
- AI interactions: the questions and instructions you give AI features, and the results they return.
- Communications: messages you send to our support or sales teams, including through our contact form.
4. How we use it
- To provide, maintain and support the Service, including the features you choose to use.
- To bill you and manage your subscription.
- To keep the Service secure, prevent fraud and misuse, and keep an audit trail of changes.
- To understand how the Service is used so we can improve it, using aggregated or de-identified information wherever possible.
- To send you service notices, such as security alerts, billing messages and changes to these terms.
- To comply with legal obligations and enforce our agreements.
We do not sell, rent or trade personal data.
5. AI features
- When you use AI features, the relevant business data and your instructions are sent to AI service providers that process them on our behalf, only to produce the result you asked for.
- We only work with AI providers that are contractually prohibited from using your data to train their models.
- AI features respect your team’s permissions: they only work with data the signed-in user is allowed to access.
- If you choose to connect easySales to another AI tool, the data you share with that tool is handled under that tool’s own terms and privacy policy.
6. Who we share it with
We share personal data only as described here:
- Service providers that host, store, secure, email, process payments, provide AI capabilities or support the Service for us. They may only use the data to provide their services to us and must protect it. A list of our main service providers is available on request through our contact form.
- Legal and safety reasons, where required by law or legal process, or where we believe in good faith that disclosure is needed to protect rights, safety or to investigate fraud.
- Business transfers, if SharkerTech is involved in a merger, acquisition or sale of assets. We will notify you by email or a prominent notice before your data becomes subject to a different policy.
- With your consent or at your direction.
7. Where data is stored
Your data is primarily stored in Singapore. Some of our service providers, including AI providers, may process data in other countries. Where data leaves Singapore, we take steps to make sure it receives a standard of protection comparable to the PDPA, for example through contractual safeguards.
8. How long we keep it
- We keep your data for as long as your account is active and as needed to provide the Service.
- When an account is closed, we keep its data for 30 days so it can be exported. After that it is permanently deleted from our active systems. Copies in backups are removed as those backups expire on their regular cycle.
- We may keep limited records for longer where the law requires it, for example billing records for tax purposes.
9. How we protect it
We use administrative, technical and physical safeguards appropriate to the data we handle. They include encryption in transit, role-based access controls, record-level permissions and audit logging. Our staff access customer business data only when needed to provide support you request, to keep the Service secure, or to meet legal obligations, and that access is logged.
No system is completely secure. If a data breach is likely to cause significant harm, we will notify affected customers and the authorities as the law requires.
10. Your rights and choices
- You can ask to access or correct the personal data we hold about you, and account administrators can update most details directly in easySales.
- You can withdraw consent for uses that rely on consent. This may affect our ability to provide some features.
- Administrators can export their business data and close their account.
- If you are a customer or contact of an easySales user, please contact that business first; they control that data. We will help them respond.
To make a request or raise a concern about your personal data, use our contact form. We will respond within the timeframes required by law.
11. Cookies
We use essential cookies to keep you signed in and to secure the Service. If we use analytics or other optional cookies, we will say so here and give you a choice where the law requires it. This website does not currently use analytics cookies.
12. Marketing
We send marketing messages only where the law allows, and every message includes a way to opt out. Service notices, such as billing and security messages, are not marketing and will continue while you have an account.
13. Changes to this policy
We may update this policy from time to time. If we make a significant change to how personal data is used, we will notify the account owner by email before the change takes effect. The date at the top shows when it was last updated.
